About the position

Position Overview:

Driving processes and continuous improvement

  • Ensure all salary payments, increases, bonus payments and other employee payments have been reviewed and approved by the relevant line managers/and/or Country General Manager/and/or Country CEO/and/ Country Managing Director AND the CEO of CLA.
  • Ensure all payroll process are loaded onto the systems workflows i.e. changes on remuneration, changes on employee bio data, terminations, increases and changes on employee banking details etc.
  • Monitor trends and identify risks and potential risks. Make recommendations and take initiate to mitigate risks.
  • Liaise with in country HR representatives and senior managers on payroll queries, changes, and legal requirements.
  • Monitor the payroll to maintain the salary costs as per budgets for the various countries in Africa. Take initiatives to reduce overtime costs.
  • Ensure all payroll deadlines and payroll changes are communicated to the HR representatives within the CLA entities in Africa.
  • Develop and deliver training programs to educate users on HRIS best practices and procedures.
  • Train and mentor, all stakeholders within the CLA entities in the African content to ensure data accuracy and smooth payroll process.
  • Train employees on the Employee Self Service system.
  • Assist staff with payroll queries and advice on Social Security, taxes and leave etc.
  • Prepare and submit accurate monthly, quarterly, and annual reports including the HRIS budget and trends on leave, over time, terminations, new hires etc.
  • Generate reports for the collation of WSP, EE and other legislative reports.
  • Serve as a point of contact for resolving user inquiries and issues related to the HRIS.

Management of HRIS and Payroll tools

  • Performs audits on the HR systems, payrolls, processes, and tools. Implements improvements where applicable.
  • Audit the HR systems monthly to ensure data accuracy.
  • Identify opportunities for process optimization and automation within the HRIS environment.
  • Work with stakeholders to streamline HR workflows and enhance system efficiency.
  • Continuously evaluate and recommend improvements to enhance the usability and functionality of the HRIS.
  • Ensure compliance with data privacy regulations and company policies in the HRIS and Payroll for Africa
  • Implement security measures to safeguard sensitive HR information within the system.
  • Together with relevant stakeholders develop standard operation procedures and training guidelines for the HR systems and the payroll process.

HR Responsibilities

  • Actively participate in HR projects and provide general HR administrative support.
  • Work closely with the HR Manager, Regional HR Manager and country Leaders to address labour issues such as disciplinaries meetings, terminations, investigations, union negotiations, collective bargaining agreements, strikes, labour disputes, third party meetings etc within the region.
  • Ensure all employee personal files are up to date and filed electronically.
  • Together with the Head of People Africa assist in the review all Human Resource policies and procedures to ensure compliance.

Qualifications

  • Bachelor’s degree in Human Resources/Psychology/ Information Technology or related qualifications
  • 2-3 years’ experience in managing HR information systems, preferably in a large organization.
  • 2-5 years’ experience working with multiple entities/countries within Africa.
  • Thorough knowledge of employment-related laws and regulations
  • Expert Microsoft Office skills (Excel, Word, PowerPoint, and Outlook) skills
  • HR system management end user/employee self-service expertise
  • Fluent oral and written English. French will be advantageous.
  • Strong understanding of HR processes and data management principles.
  • Proficiency in HRIS software such as Scubed, Workday, Oracle HRMS, or similar platforms.
  • Availability to travel within the African content.
